Personnel Specialist

Job Purpose

 

  • To ensure full validation, accuracy, and control of all employee affairs across the Plant, including monthly payroll effects, attendance, overtime, allowances, leave, and personnel administration. The role is accountable for maintaining accurate employee records, managing Oracle HR and self-service systems, and ensuring compliant execution of appointments, resignations, contract renewals, and audits, delivering reliable people operations outcomes for all employees.

Key Responsibilities

 

  1-Health & Safety:

Adhere to and enforce relevant legislation and policies and ensure that highest degree of safety and safe working practices are maintained.

 

2-Functional:

 

  1. Plant Monthly Inputs Management
  • Prepare and validate monthly overtime, on-call, and call-out reports in alignment with the attendance system.
  • Calculate and process food, shift, and other operational allowances
  • Consolidate all monthly payroll impacts (absences, penalties, deductions, unpaid leave, etc.) for salary processing
  • Prepare and analyze overtime reports and cost trends

 

  1. Attendance & Leave Management
  • Prepare weekly and monthly attendance reports.
  • Maintain employee working schedules and system changes.
  • Prepare and control leave reports, including:
    • Monthly leave balance.
    • Vacation and sick leave.
    • Unpaid leave and exceptions.

 

  1. Employee Lifecycle Administration
  • Execute new hire appointment and onboarding procedures.
  • Manage employment contract renewals in line with contractual terms and Egyptian labor law.
  • Handle resignation processes, clearances, and employee exits.

 

  1. Employee Records & HR Systems
  • Maintain accurate employee personnel files (physical and electronic)
  • Scan, archive, and control all employee documentation
  • Maintain and update Oracle HR system data, ensuring accuracy and data integrity
  • Create and manage HR self-service accounts and user access

 

  1. Compliance, Audit & Government Relations
  • Implement audit findings and corrective actions related to personnel and payroll data
  • Manage and follow up on government-related matters, including:
    • Social Insurance
    • Labor Office
    • Health Insurance
    • Military Service compliance
    • 5% employment requirements
    • Annual penalties and statutory reports
    • Social, Health, and Cultural Services Funds

 

  1. Employee Services & Reporting
  • Deliver employee services, including HR letters, certificates, and monthly pay slips.
  • Prepare annual bonus deduction reports based on:
    • Total absence days
    • Plant penalties
    • Unpaid leave
  • Respond to employee queries professionally and within service-level timelines

 

 

Education

 

 

 

 

Qualifications & Experience

Education:

  • Bachelor’s degree in Business Administration, Human Resources, or a related field.

 

Experience:

  • 2-3 years of experience in personnel administration and payroll support.
  • Strong knowledge of Egyptian Labor Law and Social Insurance regulations.

 

Technical Skills:

  • Good language.
  • Excellent communication skills.
  • Good Computer Skills & Excellent at System Programs (Oracle)
  • Good at preparing and analyzing reports.
